Project Manager

We are seeking an experienced Project Manager to support and drive the successful execution of complex residential projects from design development through installation and closeout. This role is best suited for someone who is structured, proactive, and unflappable - a strong operator who brings clarity, follow-through, and momentum to projects and teams.

The Project Manager is responsible for overseeing schedules, documentation, coordination, and execution across multiple residential projects. This is a client-facing role that requires clear, confident and efficient communication with private clients, contractors, vendors, and internal team members.

In addition to project oversight, this role includes hands-on architectural production responsibilities, including construction documentation coordination and finish sourcing, in close collaboration with the design team and Principal. The PM is expected to be embedded in the project deeply, to ensure projects move forward smoothly, decisions are tracked and executed, and issues are addressed early and decisively.

This role requires ownership, judgment, and the ability to problem solve and manage complexity without constant escalation.

Responsibilities

Project, Process & Production Management

  • Own project timelines, task tracking, and deliverables from design development through installation

  • Establish and maintain clear project plans, schedules, and milestones

  • Proactively identify risks, gaps, or delays and implement solutions before issues escalate

  • Maintain clear documentation of decisions, approvals, and next steps

  • Ensure internal processes and workflows are followed consistently and accurately

Construction documentation & Oversight

  • Coordinate and manage construction document sets in collaboration with the design team

  • Create and review architectural drawings, interior drawing sets, and external documentation for alignment with design intent and project scope

  • Track revisions, approvals, and construction-related correspondence

  • Support construction-phase coordination with contractors and vendors to maintain momentum and clarity

Finish & Material Sourcing

  • Support and coordinate the sourcing and specification of finishes and materials, including stone, tile, plumbing fixtures, hardware, and architectural finishes

  • Track samples, approvals, pricing, and lead times in collaboration with designers

  • Maintain organized finish schedules and sourcing documentation

  • Ensure materials are aligned with budget, timeline, and design intent

Client Communication

  • Serve as a primary point of contact for private residential clients

  • Communicate timelines, updates, and logistics clearly, timely, and professionally

  • Manage expectations while maintaining a high-touch, design-forward client experience

  • Prepare and document meeting agendas, notes, and action items

Coordination, Procurement & Installation

  • Track FF&E orders, lead times, deliveries, and installations

  • Support procurement workflows, advance requests, invoicing, and installation planning

  • Lead installations physically, creatively and logistically - oversee logistics, scheduling, and site coordination as required

Documentation & Operations

  • Maintain rigorously organized project folders, trackers, and records on internal systems

  • Manage budgets and financial tracking, reporting to principal

  • Support refinement and documentation of SOPs and workflows to improve studio efficiency

Qualifications

  • 7+ years of professional experience in interior design project management, architecture, or construction-related roles

  • Demonstrated experience managing high-end private residential projects with DOB in New York city

  • Highly organized, detail-oriented, and comfortable managing multiple projects simultaneously

  • Strong written and verbal communication skills; clear, composed, and client-facing

  • Proactive, self-directed, and accountable

  • Comfortable operating in a small, high-expectation studio environment

  • Calm under pressure; able to manage intensity without emotional reactivity

  • Systems-minded with strong follow-through

Senior Interior Designer

We are seeking a Senior Interior Designer to join our Residential team: someone seasoned, self-directed, and capable of carrying meaningful responsibility across the full lifecycle of residential projects. It is best suited for a designer who is driven, self motivated, exceptionally detail oriented and ready to operate with accountability, autonomy, and discipline.

The Senior Interior Designer will work closely with the Principal and design team to lead projects from early concept through execution. This includes creative development, documentation, FF&E, coordination, and client communication. The position requires comfort moving fluidly between big-picture design thinking and exacting logistical execution. There are real production responsibilities, and success depends on strong self-management, organizational discipline, and the ability to multitask while staying focused and sharp in a fast paced, rigorous environment.

Responsibilities

Design Execution & Vision Implementation

  • Interpret and execute the Principal’s creative direction across all phases of residential projects, working with both autonomy and collaborative rigor.

  • Translate design intent into clear direction for the project team, coordinating tasks and deliverables to maintain momentum and meet milestones.

  • Anticipate project, team, or business needs and proactively flag issues, gaps, or risks related to scope, schedule, or execution.

  • Support the Principal by operating as a reliable second brain on projects - prepared, decisive, and solutions-oriented.

Technical Documentation & Construction Oversight

  • Produce detailed and accurate furniture plan, interior elevations, custom millwork and furniture drawings, and design documentation that meet a high professional and aesthetic standard.

  • Review fabrication shop drawings, and construction submittals to ensure fidelity to design intent.

  • Create, maintain and update 3D models for interior projects, including finishes, custom millwork, and furniture designs, as required.

  • Coordinate with architects, fabricators, and contractors to resolve technical and constructability issues efficiently and thoughtfully.

  • Maintain accuracy and consistency across all design documentation throughout the life of a project.

Project Management & FF&E Coordination

  • Coordinate the selection, documentation, and execution of finishes and furnishings across projects, working closely with the team to ensure timely delivery and installation.

  • Prepare and maintain project boards, schemes, and sample sets with accurate specifications, pricing, and availability throughout the project timeline.

  • Track and organize materials, samples, and approvals to support smooth procurement and execution.

  • Maintain rigorously organized project folders and documentation on the internal server, including drawings, correspondence, approvals, and reference materials.

Presentation & Meeting Management

  • Translate creative development into clear, well-structured presentations, schedules, tear sheets, and internal documents that reflect Bespoke Only’s brand and standards.

  • Lead and contribute to internal design reviews with strong preparation, time management, and follow-through.

  • Prepare meeting agendas, presentation materials, and documentation in advance of reviews with the Principal and/or clients.

  • Document key decisions, next steps, and action items to ensure clarity and accountability following meetings.

  • Communicate updates and progress clearly to support alignment across the team.

Qualifications

  • 7+ years of full-time interior design experience, with strong preference for pre-pandemic industry experience

  • Demonstrated experience working on high-end private residential projects, in a lead role.

  • Advanced proficiency in 2D drafting and documentation and 3D modeling for interior projects (survey, plans, sections, elevations, custom millwork/furniture, construction sets)

  • Exceptional organizational skills and comfort managing multiple workstreams simultaneously

  • Strong written and verbal communication skills; able to articulate ideas clearly and precisely

  • Highly self-motivated, resourceful, and accountable

  • Comfortable working within a small, high-expectation studio environment

  • Calm under pressure; able to sustain pace without becoming reactive or overwhelmed

  • Strong aesthetic judgment and taste aligned with Bespoke Only’s sensibility
